As our operations expand, we are looking for a proactive and adaptable Administrative Support Officer to join our team. This role is evolving, offering an excellent opportunity for a motivated individual to contribute to various aspects of business administration and operations.
Key Responsibilities
General Administration & Data Entry: Perform day-to-day administrative tasks, including managing documents, data entry, and maintaining records. Email & Calendar Management (MD and OM): Organise schedules, set up appointments, and ensure effective communication across the team. LinkedIn Management: Assist with managing the companys LinkedIn presence, including posting updates and engaging with the audience. Minutes of Meetings: Record and distribute meeting minutes, ensuring key action points are tracked and followed up. ClickUp Task Management: Maintain and update project tasks in ClickUp, ensuring workflow efficiency. Customer Onboarding: Support new customer setup processes, including documentation and communication. Invoicing Assistance: Collaborate with the accounts team to assist in invoicing and financial documentation. Generating Reports from SimPro: Extract and format reports from SimPro to make them presentable and useful for decision-making. Reporting & Job Status Updates: Provide regular updates to clients regarding job progress and status, follow up clients for outstanding purchase orders. Team Follow-Up for Compliance: Ensure teaUpgrade to see actual infombers adhere to compliance and safety regulations by following up on required documentation and reporting. Stock & Equipment Tracking: Assist in maintaining inventory records and tracking equipment usage. Supplier & Vendor Coordination: Communicate with suppliers and vendors for orders, invoices, and service-related queries. Process Improvement Support: Assist in identifying and implementing improvements to administrative processes for increased efficiency. Skills & Experience
Proven experience in an administrative or support role. Strong organisational and time management skills. Proficiency in Microsoft Office Suite, SimPro (Advantageous), and ClickUp Ability to multitask and adapt to a fast-paced, evolving work environment. Excellent written and verbal communication skills. High attention to detail and accuracy.
